Delete Your Account

The short version: Volunteers can permanently delete their VolunteerFlow account from inside the mobile app or the web portal in under a minute. Deletion is immediate, irreversible, and removes your profile, hours, training records, badges, surveys, waivers, messages, and avatar. A small set of records is retained for legal and financial compliance — see the table below.

VolunteerFlow is a volunteer management platform operated by PowerHouseTech LLC dba VolunteerFlow ("we," "us," "the platform"). This page explains how you, as a volunteer using the VolunteerFlow mobile or web application, can permanently delete your account and the personal data associated with it.


Option 1 — Delete from inside the app (recommended)

The fastest way to delete your account is from your own profile screen. Deletion is processed immediately by our servers; no email or human review is involved.

From the VolunteerFlow mobile app (iOS / Android)

  1. Sign in to the VolunteerFlow app with your email and password.
  2. Tap the Profile tab in the bottom navigation.
  3. Scroll to the bottom of the Profile screen.
  4. Tap Delete account.
  5. Confirm twice — once on the warning dialog, then again on the final "Delete forever" prompt.
  6. Your account, profile data, and the records listed below are deleted from our active systems within seconds. You will be signed out immediately.

From the VolunteerFlow web portal

  1. Sign in at https://www.volunteerflow.us with your volunteer credentials.
  2. Open Profile from the navigation menu.
  3. Click Delete account at the bottom of your profile.
  4. Type-confirm and submit. Deletion is processed immediately.

Option 2 — Email a deletion request

If you cannot sign in (lost password, lost device, account locked, etc.), email privacy@volunteerflow.us from the email address on your account with the subject line "Delete my VolunteerFlow account." Include:

  • The email address registered on your account
  • The name of the organization (nonprofit, school, etc.) whose volunteer program you joined
  • Optionally, your full name as it appears on your profile

We process email-based deletion requests within 10 business days. We may ask you to confirm your identity (e.g., by replying from the email address on file) before completing the deletion.


What gets deleted

When you delete your account, we permanently remove the following records associated with you from our active production database and storage. This action cannot be undone.

  • Volunteer profile (name, email, phone, address, emergency contacts, custom fields)
  • Profile photo / avatar
  • Logged volunteer hours and shift signups
  • Training course completions, attempts, and quiz responses
  • Badges issued to you
  • Waiver signatures and waiver records
  • Survey responses
  • Background check records and reports
  • Health certifications and insurance certificates
  • Incident reports involving you
  • Earned milestones
  • Direct and group messages tied to your volunteer record
  • Active sign-in sessions and push-notification subscriptions
  • Event applications and references you submitted
  • Audit log entries referencing you (e.g., "Volunteer X checked in at Event Y on date Z") are retained as required for the operating organization's legal and compliance recordkeeping. These entries do not include your contact information after deletion — only the action and a redacted reference.
  • Event check-in records are kept on the organization's event roster with your volunteer ID set to null, so historical headcounts and aggregated reports remain accurate. Your name, contact info, and profile data are removed from these records.
  • Encrypted database backups may retain copies of your data for up to 90 days after deletion, after which they are permanently overwritten. We do not restore deleted accounts from backups except in rare disaster-recovery scenarios.
  • Billing and tax records (only applicable if you were a paying customer, which volunteers are not) are retained for as long as required by U.S. and New York State tax law (typically 7 years).

If your organization stops using VolunteerFlow: when an organization closes its VolunteerFlow account, the same retention rules apply at the organization scope — active records are removed, audit logs and aggregate event records are retained, and backups are purged within 90 days.


For organization administrators

If you are an organization owner, administrator, or staff member (not a volunteer), use the billing-policy page or contact support@volunteerflow.us to close your organization's account. Closing the organization deletes ALL volunteer records, ALL events, and the organization's settings — and cannot be undone outside of the 90-day backup window.

For accounts of minors

If you are a parent or guardian who needs an account belonging to a minor under 13 deleted, email privacy@volunteerflow.us with the subject "COPPA deletion request" and include the child's name, the registered email, and the operating organization. We process these requests with priority and within 5 business days.
